Calendar & appointments
Appointments and the calendar
See your appointments, answer requests, and book people in yourself.
Calendar shows your appointments, church events and task due dates in one place. People can also ask your assistant for an appointment on WhatsApp.
Look at the calendar
- Open Calendar under Scheduling.
- Choose Month or Week.
- Use Today, Previous and Next to move around.
- Use the chips Appointments, Church events and Task due dates to hide or show each kind.
- Tap any item to see its details.
The other tab, Availability, sets when people can book. See Set your availability.
How people book
A member messages your assistant on WhatsApp and asks for an appointment. The assistant offers times when you are free. What happens next depends on your New requests setting:
- Need my approval: the request waits for you.
- Confirm automatically: it is booked straight away.
When requests are waiting, a banner says how many are "waiting for your answer". Tap Show to go to the first one.
Answer a request
- Tap the request on the calendar.
- Tap Approve or Decline.
You see "Appointment confirmed" or "Appointment declined".
Add an appointment yourself
Only the pastor and admins can do this.
- Tap New appointment.
- Fill in Title.
- Under With (optional), search for the person by name or number.
- Choose the Date, Start time and Length.
- Choose the Mode: In person, Phone or Video.
- Add Location (optional) and Notes (optional).
- Save. You see "Appointment added".
The form says "They'll get a WhatsApp confirmation and a reminder."
Move or cancel
Open a future appointment and tap Move to pick a new date and time, or Cancel. Cancelling asks you to confirm.
Tip: Appointments can also be written to your phone's calendar. See Google Calendar.
Delegates can see the calendar but cannot change it. See Who can do what.
